Communications & Marketing Associate

The Communications & Marketing Associate works with the Director of Communications and Director of Marketing and is responsible for a wide variety of duties requiring initiative, creative problem solving, and accuracy. This includes, but is not limited to, writing and editing press materials, maintaining contact lists, digital asset management, assisting with the logistical planning of press conferences and promotional events, hosting media during visits, and conducting guest surveys. The Communications & Marketing Associate is required to professionally interface with various stakeholders including media outlets, promotional partners, guests, and internal staff.
QUALIFICATIONS
- Bachelor’s degree preferred; and a minimum of two years of experience in Communications, Public Relations, Marketing, or a related field
- Experience working for a museum, science center, informal education institution, or nonprofit organization is highly desirable
- Proficient in PC and Mac OS, Microsoft Word, Excel, PowerPoint, SurveyMonkey, Acrobat, Dropbox and Outlook; experience with Adobe Creative Suite a plus
- Excellent writing, editing, and proofreading abilities
- Effective interpersonal and communication skills with diverse audiences
- Strong organizational skills and work ethic, and keen attention to detail
- Demonstrated initiative, excellent follow-through and ability to balance a variety of simultaneous projects to produce results in a fast-paced deadline-oriented environment
- Strong online research and database management skills
- Self-starter, innovative, and able to work independently as well as in teams
- Creativity and flexibility in approaching assignments
- Familiarity with Slack, Canva, and content management systems (such as Drupal and ResourceSpace) a plus
- Adherence to current expectation to work a minimum of three days in the office per week, with flexibility to work additional days on-site as needed to advance projects and priorities
- Ability to work a 40-hour week required; willingness to work a flexible schedule that may include weekends, early mornings, and evenings on occasion
MAJOR JOB RESPONSIBILITIES
- Assist with writing, editing, and designing press materials including press releases, media alerts, calendar listings, invitations, and more
- Help alert media to upcoming events within an appropriate time frame; collect RSVPs for media events
- Respond to media inquiries in a timely fashion; assist with the coordination of interviews with spokespeople, help host media on site, arrange parking and credentials in advance for media visiting on weekends
- Help maintain media contact lists on Cision media database for email campaigns and direct pitching
- Assist with publicity for exhibits, programs, and IMAX movie openings. Be prepared to take the lead on publicity for our ExploraStore, and potentially other projects
- Organize office and media coverage archives; maintain photo albums, photo archives, and b-roll storage
- Help plan and implement media and marketing events, including exhibit previews, IMAX screenings and tours. Maintain event timelines, help coordinate the logistical set-up for press conferences and events, including ordering food and rentals, coordinating additional staff and volunteer help, and working with various internal departments
- Responsible for content management of press room, press releases, and marketing related webpages on the Science Center’s website
- Manage the Science Center’s Yelp, Google Business and TripAdvisor profiles (reply to inquiries, upload photos, update messaging, etc.)
- Manage the Science Center’s YouTube page by regularly uploading TV commercials, IMAX trailers, and promotional videos to our channel along with captions.
- Conduct on-site guest surveys using SurveyMonkey and organize survey results in Microsoft Excel
- Build and maintain a detailed database of the Marketing Department’s external vendors and serve as the point-of-contact for vendors throughout the bidding process
- Help maintain a detailed inventory of marketing materials and publications and organize files in the digital asset management (DAM) system
- Build and maintain list of affinity groups for outreach opportunities
- Work with promotional partners to ensure that their requests and deliverables have been fulfilled
- Assist in the creation of social media content including taking photos and videos during live events
- Proofread marketing publications including e-newsletter, brochures, flyers, and rack cards
- Coordinate distribution of marketing collateral to promotional partners
- Collect, organize and maintain attendance reports, advertisement tear sheets and marketing samples
- Provide IMAX Theater schedule to showtime distributors on a regular basis
- Handle administrative duties including maintaining office supplies and equipment, sorting mail, and processing invoices
- Perform other duties as assigned
